The challenge

Porter Davis had a 1.6 TB data pool plan with its telco carrier but was routinely going over this limit. The company had very limited visibility into data spend so it was difficult to know how to control it. The telco carrier’s customer app and the monthly bills provided basic information on data usage but it would only be available after the fact.

“We were finding that on our group bill, people were using over and above our 1.6 TB limit and therefore costing the business thousands and thousands of dollars, because it would push us on to the next cap which was 2 TB. A lot of this excess usage was people using personal services, like YouTube, so we needed to control that.”

From a security perspective, the company uses web and email filtering on its desktop devices and needed to extend this security and control to mobile. After looking into a similar content filtering service for mobile that use a VPN, it became clear that VPN services can be problematic so a better security solution for mobile was needed.

From an administration point of view, Jerome and the team were finding there was a very limited amount that they could do to control and manage the devices because of the rigid default iOS security settings. They needed more control and the ability to customize the device fleet.

In this time the company has grown to over 500 employees across various businesses and professions. The company’s employees use mobile devices primarily for connectivity. The estate consists of 500-600 devices, most of which are iPhones with some additional iPads.

The solution

Many businesses today use a Mobile Device Management (MDM) solution. Porter Davis uses MobileIron which works in tandem with Wandera to give companies better visibility into their employee data usage and also the means to control it and secure it without a VPN. After some consideration Jerome and the team agreed that it made a lot of sense to adopt the Wandera solution, especially since it integrates so neatly with MobileIron.

“When we provision iPhones, we provide a sort of “white-glove service”. When someone is given a phone it is already set up with all the tools they need rather than having the end use set it up themselves. If the end user wants to put their iTunes account on the device and download personal apps, then they can, but all of the work-related services are already installed and working.”

Porter Davis chose Wandera for three main reasons. The first is to track and report on data usage so the IT team knows what people are using their devices for. The second is to notify end users not just of how close they are to their data limit but also what their data is being used on so they can better manage their individual usage. The third is to define and manage business vs personal usage – so people would be able to access work-related services like email at all times even once the cap is reached but personal services would be limited to a Wi-Fi connection only.

The company doesn’t enforce overly strict policies. Instead it has opted for a policy that allows end users a lot of freedom but the amount of data available to end users is capped. However, there are certain services that have been blacklisted including extreme, illegal, adult and gambling content.

There are also certain services that have been whitelisted including email, iMessage, Find My Phone and ActiveSync, as well as third-party apps like Cresta, ShareFile and Google Maps, to ensure these are available at all times.

When Porter Davis adds new devices to its fleet, they are enrolled in the Apple Device Enrollment Program (DEP) which provides Jerome and the team with advanced controls allowing them to configure the devices with minimal effort. They can automatically roll out MobileIron and Wandera and all the work-related services they need so the devices have the correct profiles installed from the get go. This process takes only 5-10 minutes and is very straight forward

“Wandera has limited our additional expenditure by a substantial amount. The first month we trialled the service I think we were pretty close to the 1.6 terabytes, and the second month it was 1.2, and then the third was 900 gigabytes. So the master pool is definitely shrinking, which is good.”

Results

Porter Davis has achieved significant cost savings since deploying wandera. When the company used to exceed its 1.6TB limit, the telco carrier could then bill thousands of dollars to shift the company up to the next plan. Since this was happening regularly, within the first three months of using Wandera, the company saved tens of thousands.

The company now also enjoys better visibility of devices and how they are being used. Jerome and the team are able to pinpoint which services are using the most data, and whether these hungry services are personal or work related. They are also able to see and control device tethering in real-time.

Wandera’s security product has also been protecting end user devices from threats in real-time. The solution filters browser and app traffic without using a VPN, which was one of the main appeals.

It’s good to know that we are being protected from various phishing attacks, malware infections and risky apps that can make their way onto devices.”

In the future, Porter Davis is considering a BYOD program. This means employees would be free to use their own device for work as long as MobileIron and Wandera are installed so work related services can be accessed without interruption.
